This Privacy Policy explains how Han Mi Martial Arts ("Han Mi Martial Arts," "we," "us" or "our") collects, uses and shares information when you visit hanmima.com (the "Site"), book a class, become a member, use the chat on the Site, or receive emails and text messages from us. Han Mi Martial Arts is a martial arts school at 9899 Main Street, Suite 150, Damascus, MD 20872.

Information we collect

Information you give us

• Booking and contact forms: your name, email address, phone number, the class or program you're interested in, and anything you write in the message. If you book for a child, we also collect the child's name and age or date of birth.
• Membership and account details: if you sign up, we collect the information needed to run your membership, such as contact details, emergency contact, membership plan, class bookings, attendance, rank and progress, and messages between you and the school.
• Payments: payments for memberships, trials, gear and other purchases are processed by our membership software provider and its payment processor. Card and bank details are handled by the payment processor. We do not store full card or bank account numbers ourselves.
• Website chat: see "Website chat" below.
• Health information you choose to share: we only ask about health conditions that may affect safe training (for example, injuries or allergies).

Information collected automatically

• Cookies and similar technologies: the Site and our booking and member tools use cookies to keep you signed in, remember your choices and keep the Site secure.
• Security and performance: our website security provider, Cloudflare, processes technical information such as your IP address and browser details to deliver the Site, redirect old web addresses and protect the Site from attacks and abuse. It may set cookies that are needed for security.
• Analytics: we use Google Analytics 4 to understand how visitors use the Site (for example, pages visited, time on page, device and browser type, approximate location, and how you found us).
• Advertising measurement: we use Google Ads tags to measure whether our ads lead to visits, bookings or sign-ups, and to show our ads to people who have visited the Site.
• Embedded videos: some pages include YouTube videos in privacy-enhanced mode. YouTube may still collect information when you play a video, under Google's privacy policy.

Website chat

The chat on our Site is provided by Chatbase, Inc. and uses AI to answer common questions about the school. When you use it, Chatbase stores the conversation for us, along with basic information about the chat (such as when it took place). If you choose to give your name, email address or phone number in the chat, we receive those details so we can follow up with you. Chatbase processes this information on our behalf, stores it in the United States, and says it does not use it to train AI models. Chat answers are automated and may not always be accurate, so please confirm anything important with us directly. Please do not share sensitive personal or health information in the chat.

How we use information

• To answer your questions and respond to chat messages and forms.
• To book your classes, run your trial and membership, take payments, and keep attendance and progress records.
• To send booking confirmations and class reminders by email and text message, and to send account and billing notices by email.
• To send occasional school news by email. You can unsubscribe at any time.
• To keep students safe, run the school, and meet legal and accounting obligations.
• To understand and improve the Site and measure our advertising.

How we share information

We do not sell your personal information. We share it only as follows:

• Service providers who run our tools for us:
  • our membership software provider, Gymdesk (website, booking, member management, billing, email and text messages), and its payment processor and text-messaging partners;
  • Chatbase (website chat);
  • Google (Analytics and Ads);
  • Cloudflare (domain name service, website redirects and security).
  They may use the information only to provide their services to us.
• Legal and safety reasons: when required by law or legal process, or to protect the rights, safety or property of our students, staff, the school or others.
• Business transfer: if the school is sold or reorganized, information may transfer to the new owner, who must follow this policy.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text-messaging opt-in data and consent will not be shared with any third parties, except service providers that deliver our messages.

Text messages (SMS)

If you give us your mobile number and agree to receive texts, we send only booking and class reminders to students and families, such as confirmations of classes you book and reminders before class. We do not send promotional or marketing text messages. Texts are sent through our membership software provider, Gymdesk. Message frequency depends on your bookings. Message and data rates may apply. Agreeing to receive texts is not a condition of any purchase.

You can opt out at any time by replying STOP to any message. You'll get one message confirming you've opted out, and then no more texts unless you opt in again. Reply HELP for help, or contact us using the details below.

Cookies, analytics and ad choices

• You can block or delete cookies in your browser settings. Some features, such as signing in or booking, may not work without them.
• You can opt out of Google Analytics with the Google Analytics opt-out browser add-on.
• You can manage personalized Google ads at My Ad Center. Learn more about how Google uses information from sites that use its services.

Children

Many of our students are children. We collect children's information from their parents or guardians, who book classes and manage memberships for them. The Site, including the chat, is meant for adults, and we do not knowingly collect personal information online directly from children under 13. If you believe a child has sent us information, please contact us and we will delete it.

How we protect and keep information

We use reasonable administrative, technical and physical safeguards to protect the information we hold. No website or system is completely secure. We keep information only as long as we need it to provide our services, run the school, and meet legal, tax and accounting requirements, and then delete or de-identify it. If you ask us to delete your chat information, we will delete it and ask Chatbase to do the same. Chatbase's policy is to delete such data within 30 days of our request.

Your choices

You can ask us to access, correct, or delete the personal information we hold about you, or to stop sending you school news by email. Email us at the address below. We may need to keep some information for legal, accounting or safety reasons. Depending on where you live, you may have other privacy rights under your state's law. Contact us and we will respond as the law requires.

Other websites

The Site links to other websites and services, such as YouTube, Google Maps and social media. Their own privacy policies apply, not this one.

Changes to this policy

We may update this policy from time to time. We will post the new version on this page with a new effective date.
